Customer Service and Office Operations Administration

What you'll be doing: Customer Service
Reporting to the Sales and Marketing Administrator, you will be accountable for:

  • Supporting the Sales team by providing timely, knowledgeable and courteous day-to-day customer service for product information and orders and warranty issues with current or potential retail and trade customers via phone, fax and e-mail.

Data Entry

  • Responsible for timely and accurate data entry for all stages of the sales cycle, including but not limited to: sales order entry, adjustments and invoicing.
    • Processing Sales and Warranty Return Authorizations and Credits.
    • Accountable for electronic and paper filing of documents.
    • Responsible for timely and accurate data entry of customer contact information.
    • Provide data gathering support to the sales team as requested.

    Operations Administration

  • Answer customer service phone calls, follow up on customer service voicemail.
  • Review, respond and where appropriate forward email enquiries
  • Organize and maintain appropriate web and server based filing systems.
  • Responsible for shipping various samples and support materials as needed with follow up documentation.
  • Receive, document and stock head office inventory transfers.
  • Order, monitor and stock kitchen and office supplies as needed.
  • Ensure meeting rooms and general office areas are kept tidy and presentable.
  • Sort mail and faxes and deliver to appropriate person
  • General office duties as assigned.

What you need to do it well

  • A friendly and professional attitude.
  • Excellent oral and written communication skills.
  • Strong MS office skills.
  • Customer Service and administrative experience.
  • Able to professionally handle multiple priorities.
  • Proven time management skills.
  • Attention to detail.
  • Organizational and problem solving skills.
  • Experience in using web-based customer contact management and document filing systems an asset.
  • Basic AI skills an asset.
  • Experience with SYSPRO or similar ERP data base entry an asset.
  • French and/or Mandarin Communications skills an additional asset.
  • Enthusiasm for outdoor activities and great gear, plus belief in the values behind conducting business in an ethical and environmentally responsible manner an asset.
  • Successful candidates for this position will be subject to criminal and credit records check.

This position is offered as a 3-4 day per week role with the possibility of a full time position upon successful completion of the three month probationary period.
